This privacy notice explains how I collect and use personal information through matthewranson.com and when you contact or work with me.
Who is responsible for your information
Matthew Ranson, operating as a sole trader, is the data controller. You can contact me at matthew@matthewranson.com.
Information I collect
If you use an enquiry form or contact me directly, I may collect your name, email address, telephone number, organisation, the subject of your enquiry and anything you include in your message. If we work together, I may also collect information needed to provide services, communicate with you, administer our relationship and meet legal or accounting obligations.
The website and its service providers may also collect limited technical information, such as your IP address, browser type, device information, pages visited and security or diagnostic data.
How and why I use your information

- To keep appropriate business, contractual and financial records.

I normally rely on legitimate interests to respond to enquiries and operate my business, on steps taken at your request before entering into a contract, on performance of a contract when we work together, and on legal obligations where records must be retained. I will use consent where the law requires it.
Email and website service providers
The website is built with WordPress and hosted through Bluehost. Enquiry-form messages are delivered using WP Mail SMTP and Brevo. My business email service may also process messages. These providers process information only to provide their services, subject to their own security and privacy arrangements.
Some providers may process information outside the United Kingdom. Where this happens, I rely on the provider’s lawful transfer arrangements and appropriate safeguards.
Cookies and third-party content
The website uses limited cookies or similar technologies needed for security, administration and core functionality. It does not currently use visitor analytics, advertising pixels or other non-essential tracking technologies. If that changes, this notice will be updated and consent controls will be introduced where required.
External websites linked from this site operate under their own privacy policies.
Sharing your information
I do not sell your personal information. I may share it with trusted service providers where necessary to operate the website, deliver email, provide professional services or administer the business. I may also disclose information where required by law, to protect legal rights or in connection with a business reorganisation.
How long I keep information
General enquiries that do not lead to work are normally retained for up to 24 months after the last meaningful contact. Client, contractual, financial and tax records may be retained for up to six years after the relevant relationship or accounting period, or longer where required for a legal reason. Technical logs are retained according to the reasonable operational and security needs of the website and its providers.
Your rights
Depending on the circumstances, you may have rights to access, correct or erase your information; restrict or object to its use; receive a portable copy; and withdraw consent where processing is based on consent. These rights are not absolute and legal exceptions may apply.
